Invoice list
Browse, sort, filter, and act on invoices in any view — Inbox, Archive, or your custom views.
Invoice list
The invoice list shows all invoices in the currently selected view — chosen from the left sidebar. Views include the default Inbox and Archive, plus any custom views your administrator has configured.
Views and the sidebar
Each view is a saved filter and column layout. The Inbox typically shows invoices waiting for your action. Selecting a different view reloads the table with that view's invoices.
Columns and sorting
Click any column header to sort the list by that column; click again to reverse the order. Unsortable columns do not respond to clicks.
Common columns include:
| Column | Description |
|---|---|
| Document ID | Unique invoice identifier — click to open the invoice detail |
| Creditor | Supplier name — click to open the creditor detail popup |
| Amount | Total invoice value with currency |
| Due date | Color-coded: red = overdue, amber = due soon |
| Status | The current step in the approval workflow |
| Owner | The user assigned to handle the invoice (if used) |
Administrators can add, remove, or reorder columns using the columns button (⧉) in the card header.
Filtering
The search/filter box in the toolbar lets you narrow the displayed rows. Press Enter for an immediate server-side search, or wait for the automatic debounce.
Multi-select and bulk actions
Check the checkbox on any row to select it. When one or more invoices are selected, the toolbar shows bulk-action buttons — for example, moving all selected invoices to a different status in one click.
Paging
Large views are split across pages. Use the page-size selector (30 / 50 / 100 / 300 rows per page) and the Previous / Next buttons, or pick a page number from the dropdown. The status bar at the bottom shows the total record count.
Export to Excel
Click the download icon (↓) in the card header to export the current view — with the active sort order and filter — to an Excel file. This button is visible to administrators.
Context menu — Take action
Each row has a Take action dropdown containing shortcuts for the most common workflow steps for that invoice (e.g., approve, reject, forward, change status).
