Accounting module
Set up your chart of accounts and cost dimensions, then post and balance accounting entries directly on each invoice.
Accounting module
The Accounting section (accessible from the main navigation) is where administrators manage the chart of accounts and cost dimensions used for posting invoices. The accounting module is a paid add-on — it must be enabled in Settings → Add-ons before the Accounts and Dimensions tabs become active.
Tabs
| Tab | Contents |
|---|---|
| Accounts | The chart of accounts — account numbers and names |
| Dimensions | Cost dimensions (cost center, project, department, etc.) and their values |
| Settings | Accounting-specific settings (balance target) |
Accounts tab
The chart of accounts lists all accounts available for posting. Each account has an account number and a name; inactive accounts are hidden from posting dropdowns but kept for historical records.
Adding accounts — Type the account number and name in the toolbar fields, then click Add. Changes save immediately.
Importing accounts — Click Import to paste a list of accounts in tab-delimited or newline-separated format (number<tab>name). Useful for bulk-loading a complete chart of accounts from your ERP.
Editing and deactivating — Click any field in the table to edit it directly. Uncheck Active to hide an account from new postings without deleting it.
Dimensions tab
Dimensions represent classification axes for invoice costs — typically cost center, project, department, and account. Each dimension type has a list of values (codes and names).
Tabs per dimension — Each dimension type appears as its own tab. Drag the tabs to reorder the dimensions (the order here controls the order in the invoice posting panel).
Required flag — Marking a dimension as Required means users cannot move an invoice to a gated status until a value from that dimension has been posted on the invoice.
Adding a new dimension type — Click the + tab to open the new-dimension form.
Adding dimension values — Within a dimension tab, enter a code and name in the input row and click Add. Bulk import is available the same way as accounts.
Settings tab
Balance target — Controls whether the accounting entries must balance against the invoice's gross total (including VAT) or the net total (excluding VAT). Match this to your accounting system's requirements.
Posting invoices
Once the accounting module is configured, an accounting panel appears on the invoice detail page for each invoice. Users enter dimension values and account codes there; the panel shows whether the postings are in balance.
Completion rules
The accounting module integrates with the Designer's per-status completion rules. You can require that postings are balanced before an invoice can advance to a specific status — ensuring no invoice is approved without a complete accounting entry.
